Your first week with the AI turned on: what to check each day
By GuestChat Team ·
Turning on the AI can feel a bit scary: it's going to talk to your guests on your behalf. The best way to lose that fear isn't reading about it, but watching it work carefully for a few days. This is the plan we recommend for the first week.
Before you turn it on
- A complete property profile, especially Access & Entry, Wi-Fi and times.
- The detailed information in AI Training, organized by topic.
- A name for the assistant in What your assistant is called.
- Try the chat yourself with the button in the AI Training header: ask it what guests always ask you.
Day 1: just one property
Start with one apartment, the one you know best. Each property has its own AI switch on its card in Properties: turn it on there and leave the others as they were. That way, if something goes wrong, it goes wrong in only one place.
Days 2 and 3: read everything
Open every conversation for that apartment in Conversations and read what it answered. Ask yourself three questions:
- Did it answer what it was asked?
- Was the information correct?
- Did it say "I'll check" about something it should know?
Every wrong detail gets fixed in the property profile. Every "I'll check" will show up in Teach your assistant: answer it and next time it will know.
Day 4: your own rules
By now you'll see which situations in your place need a specific answer. Write them in Your own rules. Few and clear.
Day 5: practice the pause
Write in a conversation yourself and watch the indicator: the AI pauses for a couple of minutes and comes back on its own. Turn it off in one conversation and turn it back on: you'll see it asks you whether to answer what was left pending. Better to learn this on a quiet Tuesday than on a Saturday with three arrivals.
Day 6: alerts
Check in My Profile that report alerts reach the right address, and decide whether to turn on text messages for very serious reports. If you have a team, add their emails in Reports.
Day 7: roll it out
If the AI has answered well in the first apartment, turn it on for the rest. Use Copy to Others in AI Training to bring over what they share, and check in each apartment whatever is different.
What you don't need to do
- Read every message forever. After the first week it's enough to review the mood tags, the reports and the pending questions.
- Write rules about how it should talk. The tone is already taken care of for every account.
- Turn it off at the first mistake. Fix the detail and keep going: as soon as it's right in the property profile, the AI uses it in its next answers.
Signs it's going well
- Every day there are fewer questions in It asks you.
- Guests don't ask the same question twice.
- You step into conversations to add a personal touch, not to put out fires.
If something doesn't feel right
Write down the specific case: what the guest asked, what the AI answered and what you would have said. Almost always the difference is a missing detail or a situation that deserves one of your own rules. With that example in front of you, the fix takes minutes.
