What the AI knows about your property: how to write information that works

By GuestChat Team ·

The AI answers with what it has in front of it. If the property information is one messy block, the answers come out messy. If it is organized by topic, the AI finds the piece that answers each question straight away. It is worth spending an afternoon on it.

Where it is

In each property's profile, in the AI Training section, under the What the AI knows about this property dropdown. Inside there is a large box, Detailed Property Information, where you write in your own words everything a guest might need.

What to write

The screen itself suggests four blocks, and they make a good outline:

  • How to arrive and get in: parking, main door, elevator, floor, door.
  • Appliances or systems that are not obvious to use: boiler, air conditioning, ceramic cooktop.
  • Where things are inside: remotes, extra towels, kitchenware, water shut-off valve.
  • House and building rules: trash and recycling, noise, pets.

If you would rather be guided, Guided fill-in asks you questions as you go. And once the text is written, Auto-complete uses what you wrote to fill in the form fields (amenities, rules, access). Check what it filled in afterwards: it is a help, not a replacement for your own eyes.

One topic per paragraph

The screen shows your text split into blocks, cutting wherever you left a blank line. It does not change what you wrote, but it helps the AI find each thing. Simple rule: one topic, one paragraph, and a blank line between topics.

The counter and the limit

Under the box you will see how many characters you have written and how much of the limit they take up. There are three situations:

  1. It fits whole: the AI reads all of it for every reply.
  2. It is long: the AI reads it and picks the piece that answers each question. Nothing is lost, but this is where one paragraph per topic makes the difference.
  3. Too long: the property details start getting cut. The guest details and the AI rules are never cut, but your part is. If you get here, shorten it or remove what is used least.

The Extra Knowledge Base

Below it is the Extra Knowledge Base, which fills itself with what you answer to pending questions and to that property's reports. It has its own switch: if you turn it off, the AI stops reading it and it stops growing, but what is written stays saved. You can also edit it by hand.

You will also see the Checked by the system details and what the system has added, which you can adopt into your text or remove.

The journey of what it learns

In the same section, the The journey of what it learns diagram shows you where the AI reads from: what you write yourself (the property details, which always win), what is already checked and what it has just learned. It is the quickest way to understand why the AI said what it said.

Common mistakes

  • Copying your listing from the booking site. The listing sells; this information solves problems. "Bright and cozy" answers nothing.
  • Details that change and nobody updates. If you change the building door code or the wifi password, change it here the same day.
  • Contradictions. If the profile says check-out at 11 and the text says 12, you leave it to chance. The profile fields win: better to keep them matching.
