Arrivals: the screen for planning your day without surprises

By GuestChat Team ·

Every morning it pays to answer three questions: who arrives today, who is staying right now and who is leaving. The Arrivals screen is made for that, with bookings synced from your channels and each guest's actions one click away.

How it is organized

  • In stay: who is in the property right now. The Leaves today mark shows who checks out today.
  • Check-in today: who arrives today.
  • Upcoming check-ins: arrivals over the next few days.

At the top you have Update now to pull the latest changes from your channels, the time of the last update, and a search box by name, property, email or phone. On the Panel home screen, the Today's Arrivals card gives you the summary without going in.

What you see for each guest

Besides dates and property, you will see the times they gave in their online check-in. If a guest arriving today hasn't given a time, that's a good sign you should write to them.

The card's actions

  • Send a message: through the booking site, by public chat with an email alert, or by email, depending on the guest.
  • Schedule a message: a one-off message for that guest, at the time you choose.
  • Notes: anything you want to remember ("bringing a bike", "celebrating an anniversary"). If a note talks about times, the system reads it and suggests the access change; if it is completely clear, it applies it on its own when you save the note.
  • What your assistant knows about this guest, inside the note: the profile the AI has been building (interests, what they have asked). If something is not true, Make the assistant forget this.
  • Custom access: changes the virtual key's time window (earlier check-in, later check-out, specific dates).
  • Restrict that guest: blocks the AI, the instructions or the virtual key, each one separately.
  • Delete their times: if they entered the wrong times, they are cleared and the guest will have to enter them again the next time they open their link.

Your morning routine, in five minutes

  1. Open Check-in today. See who hasn't given an arrival time and write to them.
  2. Go over the notes for each arrival: special requests, cribs, late arrivals.
  3. Check in Cleaning that every check-in today has its cleaning done in time.
  4. Look at In stay in case anyone has a tense mood tag or an open report.
  5. For those leaving today, confirm that check-out fits with the cleaning.

Common mistakes

  • Not updating after a change on the booking site. If you just changed a booking, press Update now before you trust the screen.
  • Granting a time and not recording it. If you tell them they can check in at 12, put it in Custom access; otherwise their virtual key will work at the standard time.
  • Forgetting the notes. A crib request written in the note but never passed on to cleaning makes a bad first impression.
  • Restricting too much. If you only want the AI not to answer them, check only the AI: everything else keeps working and the guest can still get in.

Why here and not in the calendar

The calendar tells you which nights are booked. Arrivals tells you what you need to do today with each person. Those are two different questions, and for running the day, the second one is what matters.
