Organize cleanings with Turno: times, work hours and automatic assignment

By GuestChat Team ·

Cleanings are the bottleneck of any rental with turnover. With Turno connected, bookings arrive on their own as cleanings, but what makes the difference is how you set up the times and your team. This is the setup we recommend, step by step.

Link each property

In Cleaning, Projects tab, each property is linked to its Turno property. If you've created new properties there, Sync with Turno detects them. A property still showing Link with Turno..., not linked, doesn't create cleanings.

The times for each cleaning

For each property, and as a general value, you set:

  • Max Duration: the standard time to clean that apartment.
  • Min Duration: the shorter time you accept when more cleanings need to fit in the day.
  • Travel Time: how long the cleaner takes to get there from another property.

And a buffer before the guest arrives, in minutes, so you don't finish just as the doorbell rings. Leaving a field empty for a property makes it use the global value.

Tip: time three or four real cleanings before you set the max. An optimistic number leaves you with no margin every day.

Each cleaner, their own hours

In the Cleaners tab, each person has:

  • Earliest start and Latest end of their workday. If an apartment is ready earlier, the cleaner will wait.
  • Whether they work in a team, and with how many people. A team of one is the same as no team.
  • Assign automatically: automatic assignment. It comes turned off. When it's on, unassigned cleanings at the properties that person can see are handed to them automatically.

Automatic assignment never touches a cleaning you decided by hand, and if someone drops a cleaning they were assigned, it isn't given back to them.

Plan the day

With the cleanings brought in from Turno, Organize Schedules plans the day taking into account check-outs, check-ins, times and work hours. Times you set by hand don't move when you organize.

If a cleaning starts later than it could, or is shorter than the max, you can tap it to see why: the cleaner was busy with another cleaning, the next one was waiting, the guest was arriving, the safety buffer, or the day had to be shared out. That way you don't have to guess the logic.

Real-time status

Each cleaning shows whether it's Assigned, Cleaning, finished or Not started (when its time has passed and no one has started it in Turno). The status is checked automatically every half hour, around check-in and check-out times. With smart early check-in turned on, once a cleaning is finished the arriving guest can get in earlier with their key.

Notes and emails to the team

  • Notes for the cleaner: any detail of that cleaning (set up the sofa bed, check the boiler).
  • Copy my notes to the cleaner: if you turn it on, the cleaner also sees your notes for that cleaning in Turno.
  • In the Cleaners tab you choose what time the daily email with each cleaner's plan goes out, and the hours when no one gets notified. In Notifications you see the history of what was sent.

Common mistakes

  • Travel time set to zero between apartments that are twenty minutes apart.
  • Work hours not set up: without their own hours, the scheduler uses the general ones and may suggest cleanings at times that suit no one.
  • Changing cleanings in Turno and organizing without bringing them in first: tap Bring cleanings in from Turno and then organize.
