Extra charges: cleaning, pets and extra guests on each booking site
By GuestChat Team ·
The nightly rate isn't everything. Cleaning, the dog traveling with the family, or the fifth guest who wasn't part of the plan all cost money. If those charges aren't set up properly, either you don't charge them, or you charge different things in each place and the guest notices.
Where to set them up
In the Calendar, Settings tab, Extra charges to the guest block. They are charged on top of the nightly rate. If you leave a field empty or at 0, that item isn't charged.
- Cleaning (per stay): once per booking, however long it lasts.
- Service, per night: multiplied by the nights of the whole stay.
- Pets: with a selector for how it is charged, Once per booking or Per pet.
- Guests included: how many people are covered by the price before the extra applies.
- Per extra guest, per night: what each person above the included ones pays.
Which booking site gets what
This is what causes the most confusion, and the dashboard says it right next to the fields:
- Airbnb gets them automatically through the connection.
- Booking.com does not. Its charges are set up in its own extranet.
- Vrbo syncs prices and availability, but its extra charges also have to be entered in its extranet.
For Booking.com, the dashboard has How to set them in Booking.com: go into the extranet, pick the property, go to Property and then Policies, and look for the cleaning fee, the service fee or the pet fee. If that screen won't let you edit, use its contact link and ask their support team to set the new amounts.
You don't need to repeat the Booking.com charges in the dashboard: what Booking actually charges comes inside each booking and is already counted in the breakdown.
Pets, a special case
Of the booking sites, only Airbnb gets this charge from the dashboard, and it knows how to charge it per pet. On Booking.com and Vrbo, the pet charge is whatever you have set in their extranet. Your own website will ask how many. If you choose Per pet, keep that in mind when you set the amount.
Your website uses the same charges
Your booking website has no cleaning or extra guest fields of its own: it takes each property's charges from this same block. That way your website never asks for a different price than the booking sites. And discounts on your website only come off the nights, never off the cleaning.
Where you see what was charged
In Analytics, under Income, there is an Extra guest charges card and a breakdown of charges by type. In each booking's details you see the extras charged exactly as the channel sent them.
Common mistakes
- Putting cleaning in Booking.com and in the dashboard, thinking it adds up. It doesn't: Booking charges what is in its extranet.
- Guests included set to 0. You would charge the extra from the very first person.
- Forgetting Vrbo. If you have it connected, its charges are set there.
- A cleaning fee per night instead of per stay. Over a week, the guest pays for seven cleanings and leaves you a bad review.
Checklist
- Cleaning per stay set on each property.
- Guests included matching what your listing says.
- Pets: mode chosen and the same amount in the extranets.
- Booking.com and Vrbo checked in their extranet.
- A test booking on your website to see the final total.
