All bookings: find any booking in seconds and read its details properly
By GuestChat Team ·
The calendar is perfect for seeing what is happening this week. But when a guest writes "I booked in March, can you send me the receipt?", or you want to know how many cancellations you had in spring, you need the history. That is All bookings.
Where it is
In the Calendar, top right, the All bookings button. It is the full history, including canceled bookings, which are left out of the calendar grid on purpose.
The tabs
- All.
- Staying: who is there right now.
- Upcoming: what is coming up.
- Past.
- Cancelled.
Searching
The search box accepts guest, email, phone or booking number. It is the fastest way to find someone who writes to you from somewhere else: with the number the booking site gives you, you have it in a second.
Filters
Under Filters:
- One property or all of them.
- One channel or all of them.
- Check-in from and Check-in to: stays that start within a period.
- Booked from and Booked to: bookings made within a period, very useful to see how much was booked last month for the summer.
Clear filters puts everything back the way it was. And you can choose what to sort by, with the arrow button to reverse the order.
Payment status
For manual bookings and bookings from your website, you will see whether the guest has already paid, whether it is Waiting for payment, or whether Nothing charged. That way you can find in a minute who has a payment link still pending.
Each booking's details
When you open a booking, the same details panel opens as in the calendar. The most useful parts:
- The money box: what the guest pays, what the channel keeps, and the net amount for you. Not every booking site sends the amount the same way: some send what the guest pays and others send what they pay you, with the commission already taken off. The details panel works it out booking by booking so the three figures add up.
- Virtual card, when the booking site sends one: you charge that card, not the guest's.
- What the guest asked for when booking, translated into your language. If they change it later, you will see there is a new request with its date.
- See it on the calendar, to jump to its nights.
For bookings from your website, there is also Email me this booking again if you lost the booking email.
Uses that save time
- Month-end close: filter by check-in during the month and review pending payments.
- Repeat guest: search for them by email and see when they came and through which channel.
- Cancellations: the Cancelled tab with a period, to see whether any season gets more cancellations than usual.
- Before a difficult call: open the details and have in front of you what they paid and what they asked for.
Common mistakes
- Looking for a canceled booking in the calendar. It isn't there: it is here.
- Reading the channel's amount as if it were your money. Look at the net amount in the details.
- Filtering by check-in when what you wanted was booking date, or the other way around.
